Mail server

Replace Exchange and Outlook

Email is the most sensitive part of leaving Microsoft 365. A lost message or one sent to spam is noticed the same day. We move your mailboxes, calendars and contacts to email hosted in Europe or to a free software mail server, with the same addresses.

Two options

Hosted email

Zimbra at OVHcloud or Infomaniak. The provider runs the servers, backups and deliverability, for a monthly fee per mailbox.

Free software mail server

Mailcow, Stalwart or SOGo, on servers rented in your name. It needs an operations team or a managed services contract to watch IP reputation and blocklists.

For a small or medium organisation, we recommend hosted email.

Running your own mail server

  • IP reputation. A new address, or one already used for spam, gets its messages rejected or sent to junk. It has to be monitored and removed from blocklists such as Spamhaus.
  • Big providers' rules. Since February 2024, Gmail asks every sender for SPF or DKIM authentication, correct reverse DNS and a spam complaint rate under 0.3%. Above 5,000 messages a day, Gmail and, since May 2025, Outlook.com also require DMARC. A configuration mistake shows the same day.
  • Incoming spam and viruses. Filters need tuning and constant updates.
  • Security. The server is exposed to the Internet and receives login attempts all the time. Patches go in without delay.
  • On-call duty. An outage on a Friday evening delays messages until someone steps in.

Why hosted email

With Zimbra at OVHcloud, the provider takes care of these tasks. We set up the domain (SPF, DKIM, DMARC), copy the mailboxes and train users.

Hosted email suits SMEs, non-profits and local authorities with no on-call team. A free software mail server suits organisations with an operations team, or a managed services contract with us, that want to keep mailboxes on their own servers.

Zimbra at OVHcloud

For a small organisation, email hosted by a French provider is often enough. OVHcloud offers two Zimbra plans.

PlanStorage per mailboxCalendars and contactsPhones (ActiveSync)
Zimbra Starter15 GBYes, over CalDAV and CardDAVNo
Zimbra Pro50 GBYesYes

Plans read on ovhcloud.com on 17 October 2026. Both include webmail, antispam, antivirus and a daily backup. Infomaniak, in Switzerland, also offers hosted email with calendars and contacts.

Free software mail servers

  • Mailcow: a proven bundle of Postfix, Dovecot and SOGo, shipped as containers and updated monthly.
  • Stalwart: a recent server (email, calendars and contacts), still in development.
  • SOGo: webmail, calendars and contacts that sync with phones.
  • Zimbra: email with calendars, which we use through OVHcloud's hosted offer.
  • Messages: the webmail of La Suite numérique, offered to small French municipalities through the ANCT's Suite territoriale, at version 0.10 since September 2026.

Mailbox migration

  1. Inventory of mailboxes, aliases, mailing lists and shared mailboxes.
  2. Mailbox creation at the new host.
  3. Copy of messages and folders with imapsync, in several passes to shorten the cut-over.
  4. Migration of calendars and contacts (iCalendar and vCard).
  5. DNS switch (MX, SPF, DKIM, DMARC), in an evening or over a weekend.
  6. Desktop and phone setup: webmail, Thunderbird or the phone's mail app.

Everyone keeps their email address.

Calendars and contacts

Shared calendars

Calendars and contacts stay in the mail system (Zimbra, SOGo) or move to Nextcloud. They sync with phones and with Thunderbird, over CalDAV and CardDAV.

End of Exchange Web Services

Microsoft announced it will progressively block Exchange Web Services (EWS) in Exchange Online from October 2026, in favour of Microsoft Graph. Software reading mailboxes through EWS (archiving, sync, business applications) needs to be listed, whether or not you stay on Microsoft 365.

Frequently asked questions

Do we keep our email addresses?

Yes. The domain name stays yours and the mailboxes are recreated at the new provider, with existing messages and folders.

Can we keep using Outlook?

Outlook reads and sends email over IMAP with most providers. For shared calendars, webmail or Thunderbird work better.

Will our messages land in spam?

We set up SPF, DKIM and DMARC before the switch and check delivery to Gmail and Outlook.com afterwards.

Do we need Nextcloud for email?

No, they are independent. Nextcloud's Mail app can show your messages inside Nextcloud, but it is only a client.

Can we move to Messages, the email of La Suite numérique?

Yes for a French municipality under 3,500 inhabitants or an inter-municipal body under 15,000, through the ANCT's Suite territoriale. Messages is at version 0.10 (September 2026) and cannot be read in Thunderbird or Outlook. For other organisations, we recommend hosted email.
